Background
The Veterans Health Administration Black Hills Health Care System (VHABHHCS) is seeking to procure surgical instrument maintenance and repair services for their Surgical Processing Suite (SPS).
The goal of this contract is to ensure the functionality and safety of surgical instruments used in medical procedures, aligning with regulatory standards and manufacturer specifications.

Work Details
The contractor will provide preventative maintenance (PM) and repair services for surgical instruments, including case carts.
Key tasks include:
- Providing an online digital inventory system to track instrument repair status and requests.
- Conducting preventative maintenance by inspecting entire trays of instruments.
- Performing repairs that align with original manufacturers' design and specifications.
- Ensuring compliance with CDC regulations, HSPA, AORN Standards, APIC, ANSI, and AAMI standards.
- Sharpening, adjusting, aligning, straightening, calibrating instruments, and removing rust or debris.
- Conducting diagnostic testing and cleaning for rigid telescopes and power/pneumatic instruments.
- Maintaining rigid instrument containers to ensure functionality.
- Providing onsite repairs twice weekly for unscheduled needs and same-day PM services for critical sets.
- Updating a digital tracker with detailed information about each instrument's repair status.

Period of Performance
The contract will be performed from September 1, 2025, through August 31, 2026, with options to extend for additional years.

Place of Performance
The services will be performed at the Veterans Health Administration Black Hills Health Care System located at 113 Comanche Road, Fort Meade, SD 57741.
