Description

The Department of Veterans Affairs (VA), in collaboration with the General Services Administration (GSA), is conducting market research to procure a comprehensive Managed Print Service for the Boise VA Medical Center (BVAMC). The primary goal of this initiative is to enhance the facility's document management capabilities through the leasing of multifunction devices (MFDs) and implementing a secure copy/print/scan/fax server application. This solution aims to streamline and automate workflow processes, improve secure document scanning, and ultimately lead to better patient communications and care. By integrating these components into a cohesive system, BVAMC seeks a single-vendor solution that ensures seamless implementation and ongoing support.


The scope of work includes providing approximately 102 leased MFDs, two production printers, and one late-stage editing system. Additionally, the contractor will supply secure network scanning and print management solutions while offering maintenance, repair services, consumable supplies (excluding paper), and on-site key operator training at BVAMC locations. The contractor's solution must be compatible with VA Vista secure printing standards, Microsoft Windows secure printing protocols, as well as secure scan-to-network and faxing capabilities using PIV authentication.


The contract will be structured as a firm-fixed-price agreement with an initial 12-month base period. It requires the contractor to perform all work during regular administrative hours from Monday through Friday at various locations including BVAMC's main campus in Boise, ID, several satellite offices within Idaho, and one location in Eastern Oregon. The contractor should also anticipate potential expansion within a 50-mile radius of existing sites. This project is designed not only to meet current operational needs but also to provide scalable solutions that can adapt to future demands.
