Description

The Contractor shall provide Off-Site Patient Lodging Program Services for the Durham VA Health Care System, Durham, NC 27705 as per the Statement of Work (SOW). A minimum of One (1) room and a maximum of twenty (20) rooms will be required seven (7) days a week. The actual number of rooms occupied per night will be determined by the VA. The quantities specific in the schedule are estimates only and are not purchased by this contract. This is a Firm Fixed Unit-Price Indefinite Quantity Contract. The minimum number of rooms for the life of the contract is sixty (60); while the maximum number of rooms is 36,500. The Government reserves the right to select the service providers from different contractors resulting in multiple awards. Base Period of Performance: 1 October 2024 through to 30 September 2025

Background

Work Details
The Contractor shall provide Off-Site Patient Hotel Lodging Services, guaranteeing a minimum of one (1) room and a maximum of twenty (20) rooms available seven (7) days a week.

The actual number of rooms occupied per night will be determined by the VA. The minimum number of rooms for the life of the contract is sixty (60), while the maximum number is 36,500. The lodging facility must be within a five (5) mile radius from the Durham VA Health Care System and comply with TJC Standards and VA guidelines.

Specific tasks include:
1. Guaranteeing twenty (20) non-smoking, ADA compliant rooms per day.
2. Maintaining a reservation list reflecting dates and length of stay.
3. Providing check-in/check-out services daily.
4. Conducting regular site visits to monitor performance.
5. Ensuring security measures are in place, including locked exterior doors and monitored public areas.
6. Providing quality assurance through customer service observations and complaint investigations.

Period of Performance
Base Period: 1 October 2024 through 30 September 2025, with options for additional years up to four years total.
