660 Heart Transplant Lodging Service

Background
The George E. Wahlen Department of Veteran Affairs, specifically the VA Salt Lake City Health Care System (VASLCHCS), is seeking to provide lodging services for patients enrolled in the Left Ventricle Assistive Device (LVAD) and Cardiac Transplant programs. The goal of this contract is to ensure that eligible beneficiaries have access to appropriate accommodations during their treatment, which may require stays ranging from one week to 18 months.

The lodging must be within 15 miles of the VA Salt Lake City Health Care facility located at 500 Foothill Boulevard, Salt Lake City, UT 84148.

Work Details
The contractor will act as a broker to locate hotel/lodging facilities that meet specific requirements outlined in the statement of work (SOW). Key responsibilities include:
- Guaranteeing a minimum of 20 rooms per night with at least 3 diamond/3-star ratings, including 8 one-bedroom suites and 2 wheelchair-accessible rooms.
- Ensuring compliance with safety and health regulations as per NFPA, ADA, OSHA, and local ordinances.
- Providing invoices within the first 10 days of the following month; advanced payments are not allowed.
- Serving as the single point of contact for issues/complaints between hotels and the Medical Center.
- Monitoring hotel compliance with health and safety standards.
- Ensuring no blackout dates for reserved rooms and prohibiting seasonal rate changes.
- Providing appropriate accommodations for patients with service animals at no extra charge.
- Maintaining a reservation list reflecting dates and length of stay, collecting signatures during check-in/check-out for verification purposes.
