USDA RD Kentucky State Conference September 2024

Background
The USDA Rural Development (RD) is hosting a Kentucky State Conference in September 2024, aimed at providing training for federal employees. The goal of the contract is to secure a venue that can accommodate lodging, conference space, and necessary services for the attendees within Jefferson County.

Work Details
The contractor is responsible for providing a firm fixed price contract that includes:

1. Hotel room accommodations for 80 federal employees at a AAA 3-diamond rated facility or higher, with daily housekeeping and access to free Wi-Fi.

2. A large conference room and two breakout rooms for the duration of the event from September 9-12, 2024. The main conference room must accommodate 80-90 personnel with round tables set up for nine to ten people each. The breakout rooms must accommodate a minimum of 20 and 35 people respectively.

3. Audio-visual support including microphones, projectors, screens, and Wi-Fi with a minimum speed of 50/10 Mbps.

4. Food and beverage services including breakfast buffets, light snacks, all-day beverage service on specified days, and a plated dinner on September 11, 2024.

5. Set-up and breakdown of event space by the hotel staff on specified dates.

6. Coordination of lodging arrangements including a room block link for guest reservations and ensuring all charges are billed to individual guests.
