Spiritual Family Retreat 7-8 August 2026

Background
The Special Warfare Training Wing Chaplain Corps team utilizes a retreat format to engage assigned personnel and their eligible dependents. These retreats are held at commercial facilities to help participants detach from daily pressures and focus on personal and spiritual development. The goal is to enhance functional ability, mental toughness, spiritual maturity, and responsibility among service members and their families.

Work Details
The contractor is required to provide non-personal services for a family retreat scheduled for 7-8 August 2026 at an offsite resort. Key tasks include:

1. **Lodging**: Provide 80 guest rooms with modern amenities including smoke-free environments, admission to waterparks, microwave ovens, mini fridges, coffee makers, ironing boards, in-room safes, HDTVs, access to fitness centers, and high-speed internet. Each room must feature two queen beds with a queen-size sofa sleeper and a full bathroom. Handicapped-accessible rooms must be available upon request. A Pack and Play for infants under three years old must also be provided upon request.

2. **Pre-Paid Meal Vouchers**: Provide $120 meal vouchers for each adult and $90 for each child for food and refreshments during the event.

3. **Conference Room Access**: Two indoor conference rooms (Primary and Alternate) must be provided with necessary audio/video equipment for presentations. The Primary room will host all attendees while the Alternate room will separate children from adults during formal instruction.

4. **Customer Service & Technical Support**: An on-site point of contact must be available to assist with technical issues during presentations.

5. **Access to Resort Amenities**: Guests should have access to various resort amenities including an indoor waterpark, adventure park activities (slides, ropes course, climbing wall), bowling, laser tag, arcade games, art & crafts activities at the Adventure Club, spa services, and family-friendly dining options.

Period of Performance
The contract will be performed over the dates of 7-8 August 2026.

Place of Performance
Joint Base San Antonio-Lackland or an offsite resort location suitable for hosting the retreat.

Bidder Requirements
This opportunity is set aside for Small Business Set Aside - Total (SBA). Bidders must demonstrate experience in providing lodging and catering services for large groups as well as access to appropriate facilities that meet the outlined requirements.
