SEAHAFL Calibration and Maintenance of Mesa Labs Temperature Sensors

ID: HFP_20251_26496_Temperature_Sensors_Calibration_and_Maintenance • Type: Sources Sought

Description

See Draft Statement of Work.

Background
The Seattle Human and Animal Food Laboratory (SEAHAFL) is required to conduct daily monitoring of temperature-dependent equipment as part of its compliance with the ISO/IEC 17025 accreditation standard.

To enhance its capability to respond to temperature-related equipment failures, SEAHAFL installed a proprietary temperature monitoring system in 2018, which includes VPx, DataTrace, and MPRF sensors. This system allows for continuous real-time temperature monitoring and alerts personnel of any adverse temperature changes. The original equipment manufacturer (OEM), Mesa Laboratories, mandates annual calibration of these sensors to ensure their proper functioning.

Work Details
The vendor shall provide calibration and technical support services for SEAHAFL’s 92 VPx sensors, 20 DataTrace MPIII sensors, and 5 MPRF sensors annually. Specific tasks include:
1. On-site calibration of the VPx sensors at SEAHAFL by December 31st each year, ensuring they meet OEM specifications.
2. Sending DataTrace MPIII sensors to Mesa Labs in Lakewood, Colorado for calibration (10 at a time) by April 15th each year, with a return timeframe of no later than three weeks after receipt.
3. Sending MPRF sensors to Mesa Labs during the contract period for calibration with similar return requirements.
4. Providing documentation including Certificates of Calibration that detail calibration results before and after service, serial numbers, and next due dates for calibration.
5. Supplying 178 AA 3.6V batteries for the VPx sensors and replacing them as needed.
6. Offering 24/7 technical support for the VPx sensors and wireless access points (WAPs) by OEM trained technicians.
7. Updating/upgrading ViewPoint software and sensor firmware upon FDA request at least twice per year, with documentation provided within five business days after such updates.

Period of Performance
The contract will commence upon award execution with a base period of one year from the date of formal government acceptance of the instruments. There are four optional one-year periods that may extend the total contract duration up to five years.

Place of Performance
Calibration services for the VPx sensors will take place at the US Food & Drug Administration Seattle Human and Animal Food Laboratory located at 22201 23rd Drive SE Bothell, WA 98021. Calibration for DataTrace MPIII and MPRF sensors will occur at an OEM specified location.
