This solicitation is to provide the following functions rooms and services for an event for period of SEPTEMBER 2026 The provider should be at least five-star hotel in JAKARTA.

Background
The Export Controls and Border Security (EXBS) Program is seeking proposals from internationally recognized five-star hotels in Jakarta to provide conference facilities, accommodation, and related services for the Southeast Asia Forum on Export Control (SEAFEC) 2026.

This event will convene representatives from Indonesia, Southeast Asia partner governments, U.S. Government officials, industry representatives, and international organizations involved in export controls, strategic trade management, and supply chain security. The goal of the contract is to ensure a secure and high-quality venue for this significant diplomatic event scheduled for September 2026.

Work Details
The contractor will be responsible for providing the following services:
1. Full ballroom access for event setup, testing, and rehearsal on September 14, 2026.
2. Banquet-style setup for approximately 350 participants on September 15, 2026, including AM coffee service, AM and PM coffee breaks, and a private buffet lunch.
3. Two bilateral meeting rooms with boardroom setup for 14 participants each on September 15, 2026.
4. A USG control room with secure locking capability and a VVIP holding room on September 15, 2026.
5. Double U-shape configuration ballroom for approximately 200 participants on September 16-17, 2026 with similar meeting package requirements as above.
6. Eight bilateral meeting rooms with boardroom setup for 14 participants each on September 18, 2026.
7. Accommodation of at least 60 standard rooms (single occupancy) inclusive of daily breakfast from September 14 to September 19, with each room equipped with a standard depository security safe.

Period of Performance
The contract will be performed over the period from September 14 to September 19, 2026.
