Document Destruction Services Iowa City VA HCS

Background
The Department of Veterans Affairs is issuing this solicitation for Document Destruction Services in support of the Iowa City VA Health Care System (ICVAHCS). The purpose of this contract is to ensure the secure destruction of sensitive information contained in various media formats, including paper records and electronic materials, in compliance with federal regulations and guidelines. The contractor will be responsible for providing all necessary labor and equipment to perform these services throughout the duration of the contract.

Work Details
The contractor shall provide document destruction services that include shredding, destructing, and disposing of sensitive information from the Iowa City VA Health Care System and associated Community Based Outpatient Clinics (CBOCs). Key tasks include:
- Providing all labor and equipment necessary for document destruction.
- Ensuring compliance with National Association for Information Destruction (NAID) certification requirements.
- Maintaining liability insurance throughout the contract period.
- Conducting weekly services at specified times, cleaning up residual materials post-service, and providing a schedule for pick-up and destruction times.
- Ensuring that all materials are securely stored during transport and until final destruction.
- Utilizing crosscut shredders or other approved methods to ensure final destruction meets specified security standards.
- Reporting any unauthorized disclosures or incidents involving sensitive information immediately to the appropriate authorities.

Period of Performance
The contract will be performed over two years, from December 1, 2025, to November 30, 2027.

Place of Performance
The services will be performed at the Iowa City VA Health Care System located at 601 Highway 6 West, Iowa City, IA 52246.
