This is a Sources Sought Notice / request for information (RFI) only. The purpose of this RFI is to identify potential sources which will aid in defining the procurement strategy for example, set-aside, sole source, unrestricted for a solicitation that Department of Veterans Affairs (VA) intends to post in the near future. The Michael E. DeBakey VA Medical Center (VAMC), 2002 Holcombe Boulevard, Houston, Texas 77030 has a requirement for Medical Scribe Service. The ordering period for this purchase order will be for a firm term of five (5) years. Please review the attached document(s) for more details on this requirement. Please provide the information you deem relevant in order to respond to the specific inquiries of the RFI. Information provided will be used solely by Michael E. DeBakey VAMC as Market Research and will not be released outside of the Michael E. DeBakey VAMC Purchasing and Contracting Team. The responses to this posting will be used to establish the procurement strategy for example, set-aside, sole source, unrestricted for a solicitation that VA intends to post in the near future. RFI responses are due by 4:00p.m. Central Standard Time (CST) on November 4, 2024; size is limited to 8.5 x 11 inches, 12-point font, with 1-inch margins in Microsoft Word or Adobe Acrobat format and virus checked prior to submission via email to Tiffany Burks, tiffany.burks@va.gov . Background
The Department of Veterans Affairs (VA) is seeking to identify potential sources for Medical Scribe Services at the Michael E. DeBakey VA Medical Center (VAMC) located in Houston, Texas.

This Sources Sought Notice serves as a request for information (RFI) to aid in defining the procurement strategy for an upcoming solicitation. The goal is to gather information that will assist in determining whether the contract will be set aside for small businesses, awarded as a sole source, or be unrestricted. The anticipated contract will be for a firm term of five years.

Work Details
The contractor shall provide all labor, equipment, supplies, parts, tools, transportation, supervision, bonds, and necessary insurance for Medical Scribe Services at the MEDVAMC.

The Medical Scribe will work directly with assigned physicians and will be responsible for:
1) Typing notes and filling in Computerized Patient Record System (CPRS) templates per physician dictation;
2) Confirming accuracy of patient notes by reading back information to the physician;
3) Locating and reading laboratory and imaging results from electronic medical records;
4) Aiding in filing paper documents;
5) Reading aloud handwritten mail or hardcopy materials.

The scribe will work approximately 20 hours per week with no overtime or holiday pay provided by the VAMC. Replacement scribes must be provided if the main scribe is unavailable.
