The U.S. Embassy in Panama has a requirement for Hotel Venue Services as per the attached Statement of Work (SOW). Pricing shall be submitted in the specified format and for the quantities detailed in the SOW.

The solicitation number is 19PM0725Q0031 and is issued as a Request for Quotation (RFQ).

Services to be acquired: Hotel venue services for an event from October 26 to October 29, 2025 as described in the attached SOW. Services shall be performed in the location indicated in the SOW.

The Government intends to award a contract resulting from this solicitation to the lowest priced technically acceptable offeror who is a responsible offeror.

All contractors must be registered in the SAM (System for Award Management) Database https://www.sam.gov prior to submitting an offer pursuant to FAR provision 52.204-7. Therefore, prospective offerors are encouraged to register prior to the submittal of quotations/proposals.

Background
The U.S. Embassy in Panama, through its Foreign Commercial Service (FCS) Section, is seeking to procure hotel venue services for an event scheduled from October 19 to October 22, 2025.

The goal of this contract is to provide lodging and venue space that meets specific operational needs for the event, ensuring accessibility and comfort for participants.

Work Details
The contractor is required to provide the following services:
1. **Lodging Services:**
- Eighty (80) deluxe rooms from October 18 to October 21, 2025, each with Wi-Fi and breakfast included.
- Five (5) additional rooms may be needed from October 15 to October 23, 2025, for team members traveling from the U.S., with reservations and payments handled by each participant.

2. **Main Conference Room Setup:**
- A conference room with a minimum of 3603 square feet to accommodate up to 150 participants in a school room style setup.
- The room must be available from October 19 to October 21, 2025, with access for sound-checks and preparations starting at 6:00 a.m. each day.
- All conference rooms must be on the same floor and close together.

3. **A/V Equipment:**
- An audio package compatible with Apple and Windows devices, including speakers, microphones, a projector with HDMI cable, and other necessary equipment for presentations.
