Description

This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in FAR subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; quotes are being requested and a written solicitation will not be issued.

This solicitation number 12FPC424Q0215 is issued as a Request for quotation (RFQ), and the acquisition procedures at FAR Part 13 are being utilized. The Government intends to issue a firm fixed price purchase order to the quote that meets the requirement in the attached SOW and is the lowest price.

This solicitation document and incorporated provisions and clauses are those in effect through Federal Acquisition Circular 2024-05 effective 05/22/2024.

Description of Requirement: The U.S. Department of Agriculture (USDA), Natural Resource Conservation Service is conducting an employee meeting. It is required to obtain a room block for lodging, conference space including am/pm light refreshments, and audio-visual equipment with an onsite technician as outlined in Table A of the attached SOW for approximately 120 participants.

Date(s) and Place(s) of Delivery and Acceptance: Phoenix, AZ. The hotel must be able to have lodging availability for approximately 120 participants for the dates of 09/30/2024 to 10/04/2024. The conference dates will take place 09/30/2024 to 10/04/2024.

Background
The U.S. Department of Agriculture (USDA), Natural Resource Conservation Service is conducting a National Leadership Team (NLT) meeting.
The goal of this contract is to secure lodging, conference space, and related services for approximately 120 participants in the Phoenix, AZ area from September 30 to October 4, 2024.

Work Details
The contractor will provide the following services:
- A room block for lodging for approximately 120 participants.
- Conference space including morning and afternoon light refreshments.
- Audio-visual equipment with an onsite technician as specified in the Statement of Work (SOW).
- The hotel must meet specific requirements including being on the FEMA approved list or providing certification of fire safety, compliance with ADA standards, and having at least three eating facilities within walking distance or onsite.
- The hotel must be located either on the Gila River Indian Community Reservation or downtown Phoenix.
