Background
The Michael E. DeBakey VA Medical Center, part of the Health Information Management Service, is located at 2002 Holcombe Blvd, Houston, TX 77030. The center intends to award a sole-source contract to Datasavers of Jacksonville, Inc. for the provision of Physical/Hard Copy Medical Records Storage, Transport, and Management Services. This action is justified under the authority that allows for contracts with only one responsible source when no other supplies or services will satisfy agency requirements.

Work Details
The contractor will be responsible for the management, storage, transport, and security/integrity of physical, hardcopy medical records that have not yet been transitioned to electronic systems. The services required include:
1) Maintaining physical records until they are fully transitioned into an electronic record-keeping system;
2) Ensuring complete destruction of hard copy media once it is determined that these items are no longer needed;
3) Providing secure storage and transport services for these records;
4) Managing the integrity and security of sensitive information contained in these records.

Datasavers of Jacksonville, Inc. has previously supported the facility with similar services under an active agreement and has demonstrated successful performance in this area.

Period of Performance
The expected award date for this contract is on or about August 20th, 2025.
