Maintenance Contract for HP Printers at DFW National Cemetery

Background
The National Cemetery Administration (NCA) has a requirement to establish a contract for Copier Maintenance at the Dallas-Fort Worth National Cemetery located in Dallas, Texas. The goal of this contract is to ensure reliable copier and printer capabilities for the cemetery, which includes maintenance and repair services for two network printer/multi-functional devices, along with the delivery of toner and other consumable supplies.

Work Details
The Contractor shall oversee the maintenance, supplies, and repair of two HP Color LaserJet Flow MFP E67660z networked printer/copiers. The Contractor is responsible for:

1. Maintaining the printer/copier according to manufacturer’s recommendations;
2. Providing all maintenance and repairs on-site;
3. Implementing an annual scheduled maintenance and periodic maintenance plan;
4. Responding to on-site service calls within three working hours during business hours (8:30 am to 4:00 pm, Monday through Friday);
5. Performing factory-recommended replacement of worn parts and preventive maintenance;
6. Providing repair services including diagnostics, installation of replacement parts, clearing severe paper jams, and correcting error messages;
7. Supplying all user-installable consumable supplies necessary for copying, printing, and scanning;
8. Tracking meter readings and providing monthly reports on page usage;
9. Delivering electronic documents using standard Microsoft Office Suite Applications.
