Maintenance and Service Agreement

Background
The solicitation is for a maintenance and service agreement for two GE Definium 656 rooms, two GE Optima 240 portable x-ray machines, and six imaging detectors at the Lawton Indian Hospital Biomedical Engineering Department. The contract includes a 1-year comprehensive coverage with 4 option years at a fixed annual service cost. The services to be provided include OEM planned maintenance service, routine system calibration tests, quality assurance evaluations, table repairs, unscheduled repair visits with a 6-hour on-site response time, grid replacement, next day delivery of repair parts by 10:30 am, software and quality updates as recommended by GE Healthcare, TiP Answer Line, technical support with a 30-minute phone response time, ILINQ response time of 30 minutes, and a 97% uptime guarantee. The contract also requires the offeror to submit service reports and checklists within five business days after services rendered, notify the Lawton Indian Hospital Biomedical Engineering Department prior to performing any services, sign in/out at the Security Office when entering/exiting the facility for service, and remit an original and two copies of its invoice to the IHS Oklahoma Area.

Work Details
The tasks to be completed under the contract include providing maintenance and service for the specified medical equipment. This includes planned maintenance service per OEM specifications, routine system calibration tests, quality assurance evaluations, table repairs, unscheduled repair visits with a 6-hour on-site response time including replacement parts, travel, and labor. Additionally, grid replacement and next day delivery of repair parts by 10:30 am are required. The offeror must also provide software and quality updates as recommended by GE Healthcare, TiP Answer Line support, technical support with a 30-minute phone response time, ILINQ response time of 30 minutes, and ensure a 97% uptime guarantee. Furthermore, the offeror is responsible for submitting service reports and checklists within five business days after services rendered, notifying the Lawton Indian Hospital Biomedical Engineering Department prior to performing any services, signing in/out at the Security Office when entering/exiting the facility for service, and remitting an original and two copies of its invoice to the IHS Oklahoma Area.
