Background
The Phoenix VA Health Care System (PVAHCS) is seeking a dedicated service contract for PMI Ice Machine Services due to an increase in demand for safe, sanitary, and reliable ice production across its main medical campus and nine Community-Based Outpatient Clinics (CBOCs).

The existing in-house resources are insufficient to manage the required preventive maintenance, sanitation, inspection, and upkeep of 61 Follett ice machines. This contract aims to ensure these units remain operational and compliant with manufacturer specifications, thereby supporting patient care and clinical operations.

Work Details
The contractor will provide comprehensive preventive maintenance, sanitation, and performance verification services for a fleet of 61 Follett ice machines and water dispensers. The scope includes:
1. Performing all manufacturer-required preventive maintenance tasks such as verifying electrical connections, lubricating motors, inspecting compressor oil levels, checking refrigerant leaks, sanitizing food-contact components, and cleaning condenser coils.
2. Conducting seasonal preventive maintenance aligned with manufacturer guidance and VA operational needs.
3. Submitting completed PM reports for each unit serviced within five business days of service completion.
4. Providing quarterly summary reports detailing all PMs completed, outstanding deficiencies, recurring issues or performance trends, and recommendations for system reliability improvements.
5. Ensuring all work follows healthcare environmental standards to maintain reliable and sanitary ice output.

Period of Performance
Base Year: January 1, 2027 – December 31, 2027; Option Year 1: January 1, 2028 – December 31, 2028; Option Year 2: January 1, 2029 – December 31, 2029; Option Year 3: January 1, 2030 - December 31, 2030; Option Year 4: January 1, 2031 – December 31, 2031.

Phoenix VA Medical Center, located at 650 E. Indian School Road, Phoenix AZ 85012.

Bidder Requirements
Bidders must have technicians trained and qualified to service commercial ice-making and refrigeration equipment. They must possess essential technical skills for performing diagnostics and sanitation procedures on Follett ice machines. Offerors must provide evidence of technician qualifications or training demonstrating competence in performing the required work according to manufacturer specifications and healthcare facility standards.
