FY25 | Cooling Unit Maintenance Services (Base +4)   4

Background
The Department of Veterans Affairs, specifically the James J. Peters VA Medical Center in Bronx, NY, is seeking a contractor to provide cooling unit maintenance services. The goal of this contract is to ensure the proper functioning and maintenance of twenty-two air conditioning units located within the medical center, which is essential for maintaining a comfortable and safe environment for patients and staff.

Work Details
The contractor will perform quarterly onsite preventative maintenance services for twenty-two air conditioning units of various manufacturers. This includes all necessary parts, labor, and supervision. Specific tasks include:

- Routine maintenance as per manufacturer’s guidelines
- Quarterly maintenance visits with reports and recommendations
- Power/voltage supply checks
- Fan and motor maintenance as per manufacturer recommendations
- Annual dry operation checks and amperage checks
- Function tests and calibration of high/low pressure switches
- Inspection of electrical connections, relays, and controls
- Belt tension checks and replacements as needed
- Cleaning coils, condensate pans, drain pans, and filters
- Removal and disposal of old parts from the work site.

The contractor must also provide service reports within ten business days after each maintenance visit detailing the work performed and any recommendations for repairs or additional services.

Period of Performance
Base Year: February 17, 2025 - February 14, 2026;
Option Year 1: February 15, 2026 - February 14, 2027;
Option Year 2: February 15, 2027 - February 14, 2028;
Option Year 3: February 15, 2028 - February 14, 2029;
Option Year 4: February 15, 2029 - February 14, 2030.
