Background
The Veteran’s Health Care System of the Ozarks (VA) is seeking to identify potential sources for a service agreement related to the Dolbey Fusion Dictaphone Transcription System. This initiative aims to ensure that medical dictation systems and devices owned or operated by the VA are maintained effectively, thereby supporting their mission to provide high-quality healthcare services.

The goal of this contract is to establish a procurement strategy for necessary services and equipment maintenance.

Work Details
The contractor will be responsible for the following tasks:
1. Provide licenses needed for the operation of the Dolbey Fusion Dictaphone Transcription System.
2. Provide service and maintenance of the Dolbey Fusion Dictaphone Transcription System.
3. Provide annual software licenses for voice and dial-up software, as well as server operating software.
4. Provide service and annual maintenance on server hardware.
5. Offer remote log-in service support available 24/7/365.
6. Supply system software and safety upgrades, along with telephone support from Monday to Friday, 8 AM to 5 PM CST, including technical and clinical applications assistance.
7. Execute emergency repairs on equipment as needed, with coverage for parts, labor, and travel included in corrective maintenance services.
8. Ensure priority parts delivery, including overnight shipment options.
9. Provide necessary licenses, upgrades, updates for software and Operating Systems (OS), as well as database updates.

Period of Performance
The contract period is set from August 25, 2025 through August 24, 2026, with options available for additional years from August 25 through August 24.

Place of Performance
Work will be performed at the main facility located at 1100 N College Ave, Fayetteville Arkansas.
