The United States Probation Office of the Western District of Texas is seeking a hotel meeting room and lodging services to accommodate staff attending an ORT Training event. This initiative is driven by the caseload requirements of the staff, necessitating a suitable venue for training and meetings.

Work Details
The contractor will provide hotel meeting room rental, audio/visual equipment, light refreshments, lodging, and parking services for the ORT Training event scheduled from August 31, 2026, through September 4, 2026. Specific requirements include:

1. Meeting Room Rental:
- A large meeting room capable of accommodating up to 35 attendees.
- Setup configurations include Crescent style for training sessions.
- Meeting rooms are required for specific days and times as outlined in the solicitation.

2. Audio/Visual Equipment:
- Provision of large screens, LCD projectors, microphones, flipcharts with markers, and podiums.
- Equipment must be available during specified periods throughout the event.

3. Light Refreshments:
- Morning and afternoon refreshments for attendees on each day of the event.
- A menu must be included in the proposal; if no restaurant is nearby, a lunch menu should be provided.

4. Lodging:
- Accommodation for 35 guests over four nights (Monday to Thursday).
- Payment will be made individually upon checkout with specific requirements for hotel receipts.

5. Parking:
- Options for valet and self-parking must be provided with details on associated costs.

Bidder Requirements
Bidders must ensure that they can provide all specified services including meeting room rental, audio/visual equipment setup, catering for refreshments, lodging arrangements for guests with confirmation numbers provided to the Judiciary. The contractor must also comply with tax-exempt status as indicated.
