Hotel Accommodation

Background
The Department of State is seeking to acquire hotel accommodations for a Senior High Level US Government (USG) VIP visit. The estimated cost for this acquisition is approximately Euro 400,000.00 or US equivalent $431,965.44. Due to security concerns and the urgency of the requirement, the Department recommends using other than full and open competition for this procurement.

Work Details
The contractor, Societa’ Immobiliare Alessandro De Gasperis Srl, located in Rome, Italy, will provide hotel accommodations for the Senior High Level USG Principal and their delegation, which includes support elements in Security, Communications, Logistics, and Operations. The estimated number of room nights required is 550.

The selection of hotels will be based on security and logistical considerations to ensure a safe environment for the VIP visitors. The urgency of the situation prohibits sufficient advanced notification to conduct full and open competition; therefore, negotiations must commence quickly with local vendors to finalize site selections before the visit occurs. The Department has identified several hotels that were reviewed but could not accommodate all VIP visitors due to limited availability.
