Description

The contractor will perform the specific requirements and logistics for the reservation, set-up, and support of one Ballroom and three Breakout rooms equipped with comprehensive audio/visual facilities at the South Point Hotel, Las Vegas Nevada from 15-21 June 2025. The conference will be attended by up to 550 personnel. The Contractor shall furnish the necessary Ballrooms and Breakout rooms, along with comprehensive audio/visual support, to facilitate the gathering of AFSPECWAR senior leadership. The winning quote will be selected from the lowest priced technically acceptable quote If the initial lowest priced quote is not technically acceptable and awardable, evaluation of the next lowest priced quote for technical acceptability will occur and will continue so forth until the lowest priced technically acceptable.

Background
The contract is issued by the 58th Rescue Squadron to provide logistical support for a conference involving senior leadership. The event will take place at the South Point Hotel in Las Vegas, Nevada, and aims to facilitate meetings and briefings for up to 550 personnel from June 15-21, 2025. The contractor's mission is to ensure that all necessary facilities and audio/visual support are available for the successful execution of this event.

Work Details
The contractor will be responsible for the following tasks:
1. Provide reservations, set-up, and support for one ballroom and three breakout rooms equipped with comprehensive audio/visual equipment.
2. Complete setup and management of facilities designed for a Senior Leadership Working Group, ensuring functional connectivity and accommodating facility-specific requirements.
3. Install and operate all necessary audio/visual equipment including HDMI inputs, projectors, screens, microphones, speakers, and related cables.
4. Ensure rooms are configured appropriately: the ballroom in classroom style for 150 attendees and breakout rooms with circular tables for up to 50 attendees each.
5. Provide continuous on-site technical support for connectivity requirements including internet access and teleconferencing setups throughout the event duration.
6. Coordinate all logistical aspects of the event to ensure smooth operations before, during, and after meetings.
7. Implement security measures to ensure safety and confidentiality during the event, including emergency protocols for evacuation and medical assistance.
