Facility & Event Software for Haskell Indian Natio

Background
Haskell Indian Nations University (HINU) requires a Facility and Event Management Software to track and monitor work orders for maintenance, as well as the scheduling of events on campus. The university currently lacks a tracking system for Facility Maintenance or Event Management work orders and seeks to establish a base plus 4 option year contract for the FM-EM platform. The software will be accessed by Haskell-imaged computers and mobile devices that operate on the KanREN network, which is physically and virtually separate from the BIE ENAN II network. The FM-EM software will provide the ability to track maintenance, Inventory and Supply Management, and Event booking. It will be utilized daily to operate the Facilities Work Order dashboard in the management of all university needs relating to building, grounds, custodial, and physical infrastructure requests to ensure project/task details are addressed, completed, and documented.

The system will offer secured and managed permission-based access for all users, and training will be included in the contract to ensure all users have thorough knowledge of the software. FM-EM software features also included in the contract will be: Facility Management, Reporting Dashboards, Labor tracking, Documented work history, Cost tracking, Preventive maintenance, Downtime tracking, Floorplan visualization, Full mobile access; Inventory & Supply Management: Inventory tracking, Supply requests; Reporting & Analytics; Event Management: Self-service booking, Event approval controls, Integrated calendar view, Built-in payment processing, Auto-Generated Reports.

The specific products to be delivered under the contract include FMX Software with a quantity of 1 EA. The Product/Service Code is 7A21. The delivery date for this requirement is 09/04/2023.

Period of Performance
The period of performance for this contract includes a Base Year from Date of Award-8/31/2024 and Option Years as follows: Option Year 1: 9/1/2024-8/31/2025; Option Year 2: 9/1/2025-8/31/2026; Option Year 3: 9/1/2026-8/31/2027; Option Year 4: 9/1/2027-8/31/2028.
