Background
The Department of Veterans Affairs (VA) Greater Los Angeles Health Care System is initiating a contract to maintain and enhance the implementation of Robotic Process Automation (RPA) Ephesoft Advanced Capture Software, and to introduce Nintex Workflow for further automation of Community Care tasks.

This automation is critical to improving patient care efficiency amidst staff constraints. The Ephesoft Transact Software will automate the processing of incoming medical patient record faxes, enhancing accuracy and reducing costs while ensuring compliance with VA network standards.

Work Details
The contractor will serve as a subject matter expert in both Advanced Capture (Ephesoft) and Robotic Process Automation (RPA). Key tasks include:
- Maintaining, designing, training, and supporting the Advanced Capture Solution.
- Obtaining Optical Character Recognition (OCR) documents from import folders generated by RightFax and scanned paper documents.
- Classifying documents and extracting available metadata.
- Implementing configuration with ongoing support for the software solution.
- Exporting processed documents and associated metadata for Nintex RPA integration.
- Providing technical support to ensure 24x7 operational capability.
- Delivering Visio workflow diagrams for current and future processes.
- Ensuring compliance with VA Technical Reference Model (TRM) standards.

Period of Performance
Base year of 12 months with four optional 12-month renewal periods, contingent on funding availability.

Place of Performance
Remote access via PIV card; no onsite presence required.

Bidder Requirements
Bidders must be Service Disabled Veteran Owned Small Businesses (SDVOSBC). Contractors must be Certified Partners for the installed software, have remote access capabilities with a PIV card, and comply with VA security protocols including Zero Trust security controls.
