Background
The Department of Veterans Affairs (VA) is seeking to renew annual support for Gimmal Physical Software, which is crucial for managing the records of approximately 1.8 million boxes. The software supports the VA's mission by tracking warehouse locations and facilitating retrievals made by around 1,000 users. This contract aims to ensure the continued functionality and support of this software in the VA's production environment.

Work Details
The Contractor shall provide annual maintenance and technical support for Gimmal Physical Software, including:
- Access to all patches, bug fixes, updates, and enhancements released during the performance period.
- Unlimited telephone technical support during normal business hours (Monday through Friday, 8:00 AM to 5:00 PM CST, excluding Federal holidays).
- Delivery of updates/enhancements via Gimmal’s website or other VA-approved methods.
- Provision of programmer labor for VA-requested enhancements to meet unique operational needs, capped at 40 hours per request with a not-to-exceed ceiling.
- Deliverables include email notifications to VA personnel regarding software updates and documentation for incident response times until resolved.

Period of Performance
The contract will be performed over multiple periods:
- Base Period from August 15, 2025 – August 14, 2026;
- Option Period One from August 15, 2026 – August 14, 2027;
- Option Period Two from August 15, 2027 – August 14, 2028;
- Option Period Three from August 15, 2028 – August 14, 2029.

Place of Performance
The services will be performed at the Department of Veterans Affairs Technology Acquisition Center located at 23 Christopher Way, Eatontown NJ 07724.
