Amarillo VAMC Chiller Maintenance Services

Background
The Department of Veterans Affairs is issuing this solicitation for chiller maintenance and service at the Amarillo VA Medical Center (VAMC). The goal of this contract is to ensure the proper functioning and maintenance of the chiller systems, which are critical for the facility's operations. The contractor will provide comprehensive preventive maintenance, repair services, and support for various chillers located at the facility.

Work Details
The contractor shall provide comprehensive preventive maintenance, repair service, and any required support for the following equipment and systems located at the Thomas E. Creek VA Health Care System:

1) 3 York chillers (350 Ton each) in Building 26;
2) 2 York chillers (400 Ton) in Building 26;
3) 1 Trane chiller (120 Ton) in Building 28;
4) 2 Trane chillers (200 Ton each) in the Ice Plant.

The contractor must ensure 24/7 coverage for all parts, labor, oil, and filters related to these chillers. They must respond within four hours of notification of an inoperable chiller. Preventive maintenance inspections must be performed according to manufacturer specifications, with annual inspections required. The contractor will also conduct three operational visits, one comprehensive visit, and one chiller tube brushing as needed. Additionally, two Johnson/York training courses per year will be provided upon request by the VA. The contractor is responsible for all necessary cleaning and descaling of cooling towers and sump cleaning twice a year.

Base Period: October 1, 2025 – August 31, 2026; Option Year 1: September 1, 2026 – August 31, 2027; Option Year 2: September 1, 2027 – August 31, 2028; Option Year 3: September 1, 2028 - August 31, 2029; Option Year 4: September 1, 2029 – August 31, 2030.
