48 OG - Conference Room Audio Visual System

Background
The 48th Operations Group (OG) at RAF Lakenheath is seeking to modernize its conference room by installing a high-performance Audio Visual (AV) and Video Teleconferencing (VTC) system. This project aims to enhance communication capabilities and improve the overall functionality of the conference room, aligning with the agency's mission to support operational readiness.

Work Details
The contractor is required to supply, install, configure, program, and commission a complete turn-key AV system in the 48th OG Conference Room. The specific components and requirements include:

- **Visual Displays:**
- Two (2) Sharp PN-M982 98" Large Format Displays with commercial-grade wall mounts.
- Displays must not contain any wireless connectivity (Wi-Fi or Bluetooth).
- Displays must be configured to present identical content simultaneously.
- Equipment price must include a 5-year hardware warranty and annual service checks.

- **Signal Routing & Switching:**
- One (1) Extron DTP3 T 203 Presentation Switcher.
- Extron "Show Me" Cables compatible with the Extron DTP3 T 203 Presentation Switcher.
- One (1) Extron DTP 230 Receiver for HDMI over Ethernet signal extension.

- **Audio System:**
- One (1) Extron XPA 2001 Power Amplifier.
- Six (6) Extron SF 26 CT Ceiling Speakers for uniform audio coverage.

- **Control System:**
- One (1) Extron MLC Plus 100 Media Presentation Controller programmed for user control.

- **Cabling, Shelves & Accessories:**
- Professional-grade accessories including equipment shelves, low-voltage speaker cabling, control cables, high-speed HDMI/Ethernet cables, and power cables. All cables must be neatly routed and labeled.

- **Network Integration:**
- Ensure integration of network-dependent AV components with base unclassified NIPR network interface while adhering to security regulations.

- **Programming & Commissioning:**
- Full programming of the Extron controller and presentation switcher, including system tuning for optimal performance.

- **Handover Requirements:**
- Comprehensive demonstration and training session on the new AV system for facility management personnel. Complete turnover documentation including wiring schematics and user guides must be provided.

The project is expected to commence following the site visit on September 21, 2026.

Bidder Requirements
Contractors must adhere to all manufacturers' instructions for installation and configuration. Compliance with RAF Lakenheath Asbestos Management Plan, UK HSE Asbestos codes of practice, UK’s HSE CDM regulations, OSHA regulations, JSP standards, Unified Facilities Criteria (UFC), National Fire Protection Association Standards, National Electrical Codes, and applicable UK regulations is mandatory. Contractors are responsible for verifying technical requirements outlined in the Statement of Work prior to bidding.
