2024 PEO IWS Industry Day

Background
The Department of the Navy, specifically the Naval Sea Systems Command (NAVSEA) Program Executive Office (PEO) Integrated Warfare Systems (IWS), is conducting market research for the upcoming PEO IWS Industry Day 2024 event. The purpose of this event is to engage industry partners and discuss topics relevant to the direction and partnership opportunities with PEO IWS. The agency is seeking rental of conference space and facilities for this event.

Work Details
The contractor will be responsible for providing a conference space available on one business day between February 1, 2024, and February 16, 2024, from 6:00 AM to 6:00 PM. The main Industry Day event will require multiple rooms/spaces within reasonable walking proximity to each other. The specific requirements for each room/space are as follows:

1. Event Space One: Industry Day General Session
- Accommodate up to 300 attendees in classroom-style seating
- Provide dressed tables
- Provide a dressed Command Center Table for ten individuals
- Provide a stage with a podium and a dressed table for five seated panelists
- Audiovisual/Technology requirements include detachable and stationary microphones, confidence TV monitor, video projectors, and projector screens.

2. Event Space Two: Breakout Room for Secondary Panel
- Accommodate up to 100 attendees in classroom-style seating
- Provide dressed tables
- Provide a dressed Command Center Table for four individuals
- Provide a stage with a podium and a dressed table for five seated panelists
- Audiovisual/Technology requirements include detachable and stationary microphones, confidence TV monitor, video projector, and projector screen.

3. Event Space Three: No-Host Networking Space
- Accommodate up to 50 individuals
- Provide dressed cocktail tables

4. Event Space Four: Staff Meeting Room
- Accommodate up to 60 individuals
- Provide dressed circular tables
- Provide power access to each table
- Room can be secured by government support staff

5. Event Space Five: Executive Conference Room
- Accommodate 10 seated guests at a conference table
- Access to power
- Room can be secured by government support staff
- Audiovisual/Technology requirements include TV monitor with HDMI connection and necessary AV cabling/wiring.

6. Event Space Six: Registration and Help Desk
- Provide dressed tables with chairs
- Accommodate 15 electrical connections

7. Event Space Seven: Exhibitor Space
- Provide dressed tables with reasonable space for two seated individuals
- Separate adjacent tables with sound dampening partitions
- Provide power for each table to accommodate at least two electrical connections.
High-speed internet connection is required in all spaces and rooms. The meeting space should be within 15 miles of the Washington Navy Yard, preferably near a metro stop.

Period of Performance
The contract will be performed on one business day between February 1, 2024, and February 16, 2024.
