19PA1026Q0003 - Preventive maintenance services on consular intercommunication system at Post Asuncion

Background
The American Embassy Asuncion, Paraguay requires preventive maintenance services for the Consular Audiovisual (AV) System, which includes intercom, paging, and display systems. The goal of this contract is to ensure that all systems are in good operational condition when activated, thereby facilitating effective communication between embassy personnel and applicants for consular services.

Work Details
The contractor shall provide all materials, supervision, labor, tools, and equipment necessary to perform preventive maintenance on the Consular AV System. This includes:
- Routine Maintenance Inspections for the Consular AV System at both the Head-End and Teller Windows.
- Conducting visual inspections and testing of sound systems including cleaning and testing all AV system equipment such as displays, microphones, cables, and control user interfaces.
- Inspecting for damaged cables and replacing them as necessary.
- Performing complete AV system checks including calibration of sound parameters and testing timing responses of user buttons on touch panels.
- Documenting any deficiencies found during inspections along with recommendations for corrective actions or upgrades.
- Providing a detailed report after each inspection that includes findings on equipment aging or damages caused by external factors.

Period of Performance
The contract will be for a period of one year with the possibility of four additional one-year optional periods.

Bidder Requirements
Bidders must provide evidence of experience with similar Consular AV Systems in environments such as banks or government customer service offices. Technicians must have at least one year of experience or possess PSNI certifications. All personnel must undergo background checks and provide biographical data prior to starting work.
