IFB #25-2915-12JLG Fire Alarm Preventive Maintenance and Repair Services

Background
The County of Henrico, Virginia, through its Department of Finance, is seeking to establish an annual contract for Fire Alarm Preventive Maintenance and Repair Services. This contract aims to ensure the safety of building occupants and protect property by maintaining fire alarm systems in compliance with applicable regulations and codes. The County has historically spent approximately $174,308.90 in FY 2023-2024 and $111,234.80 in FY 2024-2025 on these services.

Work Details
The Successful Bidder shall provide all labor, supervision, materials, equipment, etc., necessary for Fire Alarm Preventive Maintenance and Repair Services at County facilities. Key requirements include:
1. Perform preventive maintenance in accordance with federal/state laws and manufacturer specifications.
2. Conduct inspections of control panels, wiring, lamps, voltages, mechanical fasteners, smoke detectors, pull stations, and alarm horns.
3. Provide detailed inspection reports including device status and sensitivity readings.
4. Notify the County of any discrepancies before replacing parts.
5. Perform emergency services 24/7 with a response time of 4 hours.
6. No subcontracting without prior written approval from the County.

Period of Performance
The contract will be effective for one year from the date of award with options for renewal based on performance and funding availability.

Place of Performance
Services will be performed at various facilities within Henrico County, Virginia as specified in Attachment J.

Bidder Requirements
Bidders must have a minimum of five years' experience in fire alarm system maintenance and hold a valid Virginia Contractor’s License Classification B or better. They must also provide a list of licensed/certified technicians capable of performing required services.
