HVAC Maintenance & Services for Ashland Town Hall

Background
The Town of Ashland, Virginia, is seeking bids for HVAC maintenance and services for the Town Hall Building, which was constructed in 2020. The purpose of this Invitation for Bid (IFB) is to obtain the services of a qualified and experienced HVAC company to ensure the proper functioning and maintenance of the heating, ventilation, and air conditioning systems within the facility.

Work Details
The contractor will provide HVAC services including:
- Maintenance and repair of three Samsung VRF condensing units, one Daikin unit, three Samsung condensing units, and an Alerton DDC control system.
- A response time of four hours or less for emergency calls and three working days for non-emergency requests.
- Seasonal cleaning and maintenance as requested.
- Site protection during work and proper disposal of job-related debris.
- A maximum crew consisting of one mechanic and one truck; any additional personnel must be pre-approved by the Town's maintenance representative.

Period of Performance
The contract will commence from the date of award and will last for one year, with an option to extend for four additional one-year periods.

Place of Performance
All services will be performed at the Ashland Town Hall located at 121 Thompson Street, Ashland, VA 23005.

Bidder Requirements
Bidders must be registered in eVA (Virginia’s eProcurement Marketplace) to submit a bid. The contractor must have at least three years of related experience in government contracting. Additionally, bidders are required to carry specific insurance coverage including $1 million general liability and $1 million automobile liability insurance. Contractors must also comply with all local, state, and federal regulations regarding safety and health standards.
