Fire & Rescue Timekeeping and Scheduling Software

Background
The County of Augusta, Virginia, is seeking proposals for timekeeping and scheduling software services for its Fire-Rescue department.
Augusta County is located in the Shenandoah Valley and serves a population of approximately 77,000 across a rural area of 968 square miles.
The Augusta County Fire-Rescue system operates 17 fire rescue stations with a combination of career staff and volunteers, responding to nearly 23,000 calls in 2023.
The goal of this contract is to enhance operational efficiency through improved scheduling and timekeeping capabilities.

Work Details
The selected vendor will provide a single platform software that includes the following functionalities:
- Scheduling capabilities for 12-hour, 24-hour, and 40-hour shifts, with the ability to set schedules up to 12 months in advance.
- Support for a total of 175 users.
- Accessibility via mobile devices (both Android and iOS).
- Features to track shift trades and notify part-time staff about callouts automatically.
- Timekeeping functionality that allows for supervisor review and automatic uploads to Tyler Munis (the county's current ERP software).
- A centralized file storage system for staff access through the platform.
- Emergency notifications with turn-by-turn directions.
- Pre-planning features accessible from mobile devices with connectivity to county GIS.
- Ability to upload pre-plans directly to the platform.
- Online form creation and tracking capabilities.

Period of Performance
The contract period will commence upon award and is expected to last until all deliverables are completed satisfactorily as per the terms outlined in the proposal.

Place of Performance
The services will be performed primarily at Augusta County Fire-Rescue facilities located in Verona, Virginia.
