Background
Tennessee Tech University, under the Department of Athletics, is seeking bids from qualified charter companies to provide charter services for its football team and related personnel for the Fall 2026 season. The goal of this contract is to ensure reliable transportation for the team during their scheduled games.
Work Details
The contractor will provide charter services including:
1. Four (4) to five (5) fifty-six (56) passenger buses and drivers for various trips.
2. Specific trips include:
- Trip 1: UT Chattanooga on September 4-5, 2026
- Trip 2: Wofford University on September 25-26, 2026
- Trip 3: Western Carolina University on October 2-3, 2026
- Trip 4: Drop off at BNA, Nashville on October 23, 2026
- Trip 5: Pick up from BNA on October 24, 2026
- Trip 6: ETSU on October 30-31, 2026
- Trip 7: Mississippi State University on November 20-21, 2026
- Trip 8: Playoffs on November 27-28, 2026 (Location TBD).
Each bid must include travel costs, drivers, fuel, layover charges, and any additional costs associated with bus usage. Buses must be equipped with a restroom, DVD player, wireless internet, satellite TV, TVs, and a functional HVAC system. The age of buses should be five years or less.
Period of Performance
The contract will commence upon award and will cover the Fall season of the year 2026 with specific trips scheduled from September to November.
Place of Performance
Transportation services will primarily operate from Cookeville, TN to various locations including Chattanooga, Spartanburg, Cullowhee, Nashville (BNA), Johnson City, and Starkville.
Bidder Requirements
Bidders must provide proof of insurance with minimum coverage of $5 million for automobile liability and $2 million for general liability. They must also certify that all drivers meet applicable licensure and training requirements. Additionally, bidders are required to comply with all ICC and DOT regulations regarding driving safety. Subcontracting is prohibited unless approved by Tennessee Tech in case of equipment failure.
