Background
The University of Kentucky is issuing this Request for Proposal (RFP) to solicit proposals from qualified and experienced Offerors for a replacement surgical instrument and perioperative equipment inventory management and real-time tracking system. This initiative supports the Perioperative Services and Central Sterile departments, aiming to modernize the current software solution that lacks reliable, real-time visibility into inventory levels and asset availability.
The goal is to establish accurate inventory management, enhance surgical readiness, and optimize long-term inventory utilization across the university's healthcare facilities.
Work Details
The successful Offeror will provide a comprehensive system capable of supporting full enterprise adoption, including:
1. System implementation, configuration, data migration, validation, training, and ongoing support.
2. Real-time or near-real-time visibility into inventory levels and asset readiness.
3. Integration with existing workflows in Central Sterile and perioperative environments.
4. Support for UK-acquired hospitals and affiliates such as King’s Daughters Medical Center and St. Claire HealthCare.
5. A focus on establishing 'inventory truth' through accurate tracking of instruments and equipment.
6. Continuous improvement strategies post-implementation to ensure ongoing optimization of inventory management.
Period of Performance
The contract will be effective for three years from the date of signature, with options for two additional two-year renewals based on performance satisfaction.
Place of Performance
The services will be performed at the University of Kentucky's facilities in Lexington, KY, as well as at affiliated hospitals including King’s Daughters Medical Center and St. Claire HealthCare.
Bidder Requirements
Offerors must demonstrate financial stability sufficient to support long-term deployment and maintenance of the proposed system. They are required to have experience with healthcare systems, particularly in perioperative environments. Additionally, Offerors must comply with all applicable laws governing contracts in Kentucky and provide evidence of their qualifications through references from similar projects completed within the last five years.
