Nurse Scheduling Solution, Implentation, Maintenance And Support

Background
The County of Santa Clara is seeking proposals from qualified vendors to provide a Cloud Hosted Nurse Scheduling Solution and associated implementation, project management, training, and ongoing support to the County of Santa Clara Health System (CSCHS), department of Nursing Services.

The Nurse Scheduling Solution aims to improve the County’s scheduling process by integrating with existing systems such as Kronos, PeopleSoft, and EPIC. The solution must be Software as a Service (SaaS) and HIPAA compliant, replacing manual systems with electronic ones to enhance productivity and accuracy.

Work Details
The contract includes the following services:
1. Implementation services including configuration of the solution, user acceptance testing, training for system administrators and end users, and post-release support.
2. A comprehensive deployment ensuring end-to-end implementation from planning to operational acceptance.
3. Integration with existing systems (Kronos for time management, PeopleSoft for HR, and EPIC for electronic health records).
4. A scalable scheduling system accommodating all inpatient nursing departments across SCVMC, OCH, SLRH, and CHS without limitations on work shifts or concurrent users.
5. Custom report generation capabilities including productivity reports with multiple staffing matrices and finance reports.
6. Historical data tracking with audit trails capturing modifications in employee demographics and scheduling information.

Period of Performance
The contract will have an initial term of three years with options to renew for two additional one-year terms. Implementation is expected within 12-18 months of contract signing.

Place of Performance
The services will be performed at various facilities within the County of Santa Clara Health System.
